User Management


The SYNCHRO Control (Infrastructure Cloud | Build) user management system has been updated to provide better reliability and performance when managing your project team. The details of the new system are provided below.

Note:  A preview toggle has been added to the new user management system allowing users to switch to the legacy system while they are familiarizing themselves with the new system. 

Manage Roles

Note: Refer to this wiki for additional information on Guest User Access.

You can customize the project Roles to control who has access to what data in SYNCHRO 4D, Control, and Field. Select Administration Manage your team, then select the Roles tab.

Create a new Role

  1. Click Add role.


  2.  Enter the Role name and Role description (example: Doc Admin). You may choose to copy permissions from an Existing Role as a starting point to create a similar role. When a role is selected, the Select Permissions section will reflect the permissions assigned to that role, which can be edited to define permissions for the new role.
    Note: The Existing Role lists both project level and enterprise level roles to choose from. 

    Permissions are broken down into different headings that can be expanded to select the required permissions.

    Each permission has an information icon beside it giving more details of what the permission does. Eg. -



  3. The checkbox next to each permission group allows you to either Select All or Deselect All permissions within that group.
    Note: The check box next to the Permission groups node will Select/Deselect all permissions for the role.



    Some suggested roles and corresponding permissions are below:


    Once all the required permissions have been chosen, click Save.

  4. In the Assigned To column, the number of users assigned to the role is displayed as a link:

    Click on the link to display the list of users assigned to the role:
  5. From this dialog, you can remove users individually, or remove all users if desired.
    Note: A user must have at least one role to be involved with the project and cannot be removed from the role if the user isn't assigned to multiple roles. A message will display and the Remove Selected button will be disabled.

Viewing role permissions

If you click on the role name in the grid, the side panel will open in a view mode allowing you to view the permissions assigned to the role. Editing is not permitted in this view. The tool tips provide details on what the permission allows.

Editing a role

  1. To edit a role, select the checkbox next to the role and click Edit. This will open the side panel in an editable state.



  2. Use the checkboxes to enable/disable the permissions for the role.
  3. When finished editing, click Update to save the changes.

Delete Roles

To delete a role, just select the role and click Delete.

When prompted, click Yes to confirm the action, or No to cancel.

Managing Users

Add users

  1. To add users individually select + Add users.
  2. A right-side panel will pop up where you will add participants and assign the desired role or roles



  3. Type in the name or email of the user you want to add.



  4. To add users from external organizations, just type in the email address.


External Participants

External participants will receive an email notification with an Invitation to collaborate on your project.

The external user must Accept the invitation to access the project.  If the user does not Accept the invitation, it will expire in a week.

Until an external user accepts the invitation they will be listed as Invitation pending

Once the user Accepts the invitation, a role can be assigned to them.

Select Role

Remove users

Select the users you want to remove and click the Remove user button.

Click Yes to confirm the action.

Assign Roles

At any time in the project, you may want to assign a Role to one or more users. Just select the users and click on Assign roles.

Select the role you want to assign the users and click Save Changes.

Bulk Actions

The bulk actions drop down provides options to Import and Export user lists.

Import Users

  1. Click the Import users option to display the following dialog:

       
  2. From the Manage your team page click Import users.
        An Import users window will open where an excel sample file can be downloaded.
        Up to 1000 user emails can be added to the spread sheet. Each user will require a Role assignment before being imported.

       
     
  3. Once the spread sheet is populated it can be uploaded, with the option to send users an email notification.
  4. If a role in the excel file is not found in the project, a warning is displayed as shown below. The Upload button will not enable until the role is corrected.

       

Download Users

The Download users option allows you to download your user list to a CSV (Excel) file format. The list included the user name and role in the same format you can use to upload to a project.
