ProjectWise Web has a new, enhanced O365 integration workflow.
Users with O365 Subscription
- Download – Downloads a file to local drive. Does not check out
- Used to reference a file from local drive. Downloaded file is disconnected from Connected Data Environment.
- Check Out – Checks out and Downloads file to local drive
- Used to prevent others from accessing files while you are making edits/updates. File remains connected to the Connected Data Environment. Check In of a file will prompt you to upload and replace the file in PW Web with the file you just edited.
- Start O365 co-editing session – Checks out and launches O365 Online
- Used to open a file in O365 online session where multiple users can edit concurrently. Microsoft’s Open in Desktop App functionality is also available from within this session to utilize advanced features. The user who initiates the O365 co-authoring session must “Check In” the file to end the session when everyone is done editing in that session. You will get a reminder message to Check in the file when you are done with your session. The Audit Trail will show the users who edited the document in the Comments section if Comments are enabled in ProjectWise Explorer.
- Join O365 co-authoring session
- When a document is already opened in an O365 session, users can join the O365 co-authoring session to make edits.
To Open Office file in O365, select Start Office365 coauthoring from the Open Menu.

This first time you open an Office file with your O365 subscription you will be prompted to log into your Microsoft account.

The file will be marked with people icon in red indicating you have started a co-authoring session. Note that when a user starts a coauthoring session the file is automatically Checked Out. The user who Starts the coauthoring session has to Check-in the file when the session is complete.
The Document is temporarily saved to the user who started the co-authoring session’s OneDrive.

Other users can join a co-authoring session from the Open Menu. You can tell the document is already open in O365 by the blue people icon on the file.

Using your Office 365 subscription, you can see when multiple users in the file editing:

Remember when all users have done editing the document, the user who Started the coauthoring session must check the document back in. Once the document is checked in, the temporary file in users OneDrive is automatically deleted.
Users without O365 Subscription can access Office Documents with:
- Download – Downloads a file to local drive. Does not check out
- Used to reference a file while offline. Downloaded file is now disconnected from Connected Data Environment.
- Check Out – Checks out and downloads file to local drive.
- Used to prevent others from accessing files while you are making edits/updates. File remains connected to the Connected Data Environment. Check In of a file will prompt you to upload and replace the file in PW Web with the file you just edited.
