Activities Import


Import WBS

The Work Breakdown Structure (WBS) can be imported, initially as part of Activities import.*  Once loaded the WBS can be subsequently modified, and the Activities imported independently.

  1. Click Settings > Import > Activities.
  2. To setup a new project or to update the WBS, create and save a WBS import file by exporting the WBS from Activities > Work Inspector*. Make any necessary changes to this file.

    Note: For a new project, the WBS can be imported at the same time as Activities, but must exist before Activities can be loaded.

  3. Select Choose File for the Work Breakdown Structure File.

  4. Navigate to the location of the WBS import file and select Open.

  5. Once loaded, select Upload.

    • Any errors in the data will cause the import to fail. 

    • Errors and warnings will appear in an import error screen. Warnings need to be reviewed and actioned as needed.

    • Any errors will need to be corrected in the original file and reloaded.

  6. If no errors occur, or warnings are accepted, click Apply Changes to import the WBS.

Import Activities

Activities can be imported, initially as part of project configuration or to update Activity data from an external scheduling system*. Once loaded the Activities can be subsequently modified independently of the WBS.​

  1. Click Settings > Import > Activities.
  2. To setup a new project or to update the Activities, create and save an Activities import file by exporting the Activities from Activities > Work Inspector*.

    • Fill out the Activities import files (for details, refer to Activity Data Fields)

    • For new projects, Work Reference Categories, Discipline, Unit of Measure and Location data will need to be setup before loading the Activities*. Missing data will be highlighted as warnings upon load.

    • The user details, date and time of the last Activities import and Activities export are shown under Import Activities.

    • It is important to confirm that the last import date does not conflict with your current export file, otherwise you may overwrite changes made by another user.

  3. Make any required changes to the Activities file.

    • It is only necessary to include the mandatory columns** and those that have been changed. Unchanged columns can be removed from the import file.

    • Similarly unchanged rows can be removed from the file (refer below).

  4. Select Choose File for the Schedule of Activities File.

  5. Navigate to the location of the Activities import file and select Open.

  6. Check the boxes.

    • Preserve existing actual dates to avoid updating actual dates from the import file.

    • Archive missing Activities if you want to archive Activities (*** i.e. rows deleted from your import file).

  7. Once loaded, select Upload.

    • Any errors in the data will cause the import to fail. 

    • Errors and warnings will appear in an import error screen. 

    • Any errors will need to be corrected in the original file and reloaded. Warnings need to be reviewed and actioned as needed.

  8. If no errors occur, or warnings are accepted, click Apply Changes to import the Activities.

    The user details, date and time of the last Activities import and Activities export are also shown in the top right hand side of the Work Inspector.

Archive Activities

Activities cannot be deleted however; they can be Archived. Archiving an Activity removes it from the main list of Activities while leaving it still available for viewing.

  1. Click on Activities > All Activities then click on an Activity from the list.

  2. Click on Edit Activity then click on WBS and set it to “Archived”, then click on Update Activity (refer to Activities Management)*.

    You can also unarchive the Activity by changing the WBS back to its original status.

  3. Alternatively, export the Activities by clicking Export Activities.

  4. Edit the spreadsheet and select your chosen Activities, then replace the data in the WBS Code column** with the word “Archived

    It is recommended you keep a record of the archived Activity’s WBS code in a separate spreadsheet.

  5. When all the chosen Activities are edited, save the spreadsheet, then click on Settings > Import > Activities.

  6. Follow the process detailed above then click Upload.

  7. Alternatively, delete rows to be archived and run the Import with the Archive missing activities box checked (see details above), then click Upload.
