Import a Workflow Template

  1. When there is no workflow assigned to the form, the Import Workflow Template button will be visible.


  2. Click the Import Workflow Template button to display the following dialog providing three template workflows: (Basic, Assignment, and Review). Select a workflow template that closest suits the Forms requirement. The workflow can be adjusted to better reflect the Forms required statuses and transitions.


    Workflow Template Types
    • Basic Workflow: A very simple workflow that contains two statuses: Open and Closed.


    • Assignment Workflow: Normally used if the form needs an assignment process.


    • Review Workflow: This workflow is for a form that only needs a review process.

       
  3. The workflow is made up of three main parts:
    • Status identifies the progress that has been achieved in the workflow. It distinguishes how much has been done, and what still is left to complete.
    • State is used for dividing workflows into smaller stages such as Draft, Open and Closed.
    • Transitions identifies when the workflow has moved from one Status to the another. Movement between Statuses cannot exist without Transitions

  4. When creating a workflow, users can preview at any time to ensure the Flowchart is being properly constructed. To do this click the View Flowchart button.
       

    Note: The blue boxes are the Statuses, and arrows with the light grey boxes are the Transitions.

  5. New feature to export the workflow to Excel and PDF is added. 

by export to excel, we can check quickly and more easily the workflow setting.


Delete a Workflow

  1. Delete the existing workflow by clicking the Delete Workflow  button.
      
  1. When prompted to confirm, click Yes to delete the workflow.

     

Adding Statuses

  1. To add new status, click the Add Status button.


  2. From here the Status Name, Starting Status and Status can be defined.


    • Name: Status Name that can be customized.

    • Use as Starting Status: Set if this is the starting status of the workflow.


      Note: A green circle with a checkmark will identify which status is the starting status.

    • State: What state (Draft, Open, or Closed) is required when the form is in this status.
  1. Under Actions there are options to Copy or Delete statuses.


    Note: Status cannot be deleted if it is the only Starting Status in the Workflow.
  1. Repeat this Add Status steps until all the required statuses have been created.


  2. The order of Statuses can be rearranged by clicking and dragging them into the proper order.


  3. When the Flow Chart is viewed it’s easy to see there are missing transitions between Statuses.



Adding Transitions

  1. To create a new Transition, click the Add Transition   button.

      
  2. From here the Name and Status Transition can be defined.


    • Name: Transition Name that can be customized.

    • Status Transition: Defines the movement from one status to another.

      Note: Transitions can move forward or backwards in the workflow.
  1. Repeat these Add Transition steps until all the required Transitions have been created.


  2. The Top Transition will be the default transition on the published form. The order of the Transitions can be rearranged by clicking and dragging them into the proper order.


  3. When the Flow Chart is viewed it’s easy to verify the Workflow structure has been built correctly.
