To invite external users as external supply chain organizations (client, partner, vendor, and subcontractor organizations) go to Administration - Manage External Organizations.

 

In the Manage External Organization page, click on Invite Organization button.

Enter the primary point of contact email address. Optionally enter a custom message and click Send invite. (You only need to invite one participant for each organization)

The invitation Status will remain pending until the external organization Accepts or Rejects the invitation. Once the external organization accepts or rejects, you will receive an email communication.

 

Delete Invitation

If the invitation is rejected or if you decide so, you can select and delete the invitation.

You need to confirm that you want to Delete the invitation.

Who pays for users from external organizations invited to collaborate on a project?

By default, all external users that are invited to collaborate via Deliverables Management need to bring their own license to use the system.

Project Owners may decide to cover the costs of some or all the invited organizations’ project participants.

Select which organization the Project Owner wants to pay for

Once the invited external organizations accept the invitation, Project Owners will be able to select which organization they want to cover the costs for.

In the Manage External Organizations panel, select Manage External Organizations Billing Settings

In Manage External Organizations’ Billing Settings, select which organization you want to cover the costs for.

By agreeing to cover the cloud services licenses costs for users from external organizations, you agree their license usage being automatically included in your organization’s usage report for this project.

Your organization will cover the cost of all the participants added to the external organizations’ projects, even if the covered organization has a contract with Bentley.

How much will I pay for the external organizations’ participants?

All participants added to external organizations’ projects that are covered by the inviting organization will record Manage usage in your organization.

What entitlement are assigned to the external organizations’ participants?

All participants added to external organizations’ projects that are covered by the inviting organization will be granted Manage entitlement permissions and will record Manage usage
