AssetWise Inspections' security is comprised of multiple parts that work together to form a complete security system. Two of the most important parts of that system are roles and user groups. While both are applied to individual users, their functions are very different.
Roles: Determine module access and permissions, performable tasks, and form and field access.
User Groups: Determine asset access.
To simplify, user groups determine the specific assets that the user can access, and roles determine what that user can do to/with those assets.
Log in to AssetWise Inspections and view the Module Menu at the top of the application. Compare what you see to the image below:
This image contains all four modules: Collector, Maintenance, Manager, and Administration. Which modules you see will depend on your role. The Main and Help tabs are not modules and will always be available to all users regardless of role. The level of access displayed in this image is likely only going to be available to administrators and high-level users. Users with a more basic role will likely only have access to the Collector module.
Now, view the assets available to you in the Asset Tree:
The assets you see are determined by your user group(s). Your administrator creates the user groups and adds the necessary users, then sets up the user group security by making specific assets available to each of the user groups.
Imagine the following scenario:
You're an inspector for an agency and your system administrator has supplied you with the login information for your AssetWise Inspections user account. Your first task within the software is to perform an inspection on asset 00001.
The fact that you can view 00001 in the Asset Tree and access its information means that the administrator has added you to at least one user group with access to the asset.
The fact that you can create a new inspection report for an asset (any asset, not just 00001) means that the administrator has added you to a role that can access the Collector module and that has permissions that permit inspection report creation.
Note about Supplemental Security
Supplemental security was intentionally left out of this discussion to avoid confusion. Simply put, supplemental security allows the administrator to give individual users access to specific assets that are outside of their user group(s) access.
